ABOUT THE ROLE
In this role, you support SC Johnson’s Waxdale Site Engineering team and report directly to the Manager, Engineering. You play a key role in improving team performance by owning the non-technical components of engineering projects and day-to-day operations.
You bring strong discretion, organization, and communication skills, and you’re comfortable working independently while adapting quickly to shifting priorities. Your ability to manage details, take initiative, and maintain a sense of urgency helps keep the engineering team focused and productive in a dynamic environment.
KEY RESPONSIBILITIES
• Set up and maintain vendor records.
• Create purchase orders and manage invoicing processes.
• Support capital reporting, forecasting, work order closure, and internal order closeout.
• Manage calendars, schedule meetings, and coordinate logistics.
• Oversee sample, equipment, and miscellaneous shipment and receiving processes.
• Coordinate contractor onboarding, training qualifications, and pre-job processes through ISN WorldNet.
• Maintain organized technical drawings and documentation records.
• Manage office supplies, special orders, plotter maintenance, and laptop orders.
• Promote positive team culture through activities and key calendar reminders.
• Perform fixed asset capitalization, retirements, and inventory audits.
• Prepare reports, complete travel expense reporting, and arrange travel as needed.
• Develop and improve departmental business processes and create supporting job aids.
• Manage contract engineering agreements, including billing and allocation to projects.
• Collaborate with other site administrators to coordinate site-wide activities, events, and coverage during absences.
• Perform additional duties as assigned.
REQUIRED EXPERIENCE YOU’LL BRING
•High School Diploma or equivalent.
• 5+ years of administrative or office support experience.
• Strong working knowledge of Microsoft Office (Excel, Outlook, Word, PowerPoint).
•Qualified candidates must be legally authorized to work in the United States without current or future sponsorship.
PREFERRED EXPERIENCES AND SKILLS
• Ability to interact effectively with internal and external partners across varying roles and levels.
• Experience working in SAP.
• Comfort working cross-functionally as well as independently.
• Ability to learn and navigate new software systems (e.g., Entropy, Trackwise, SharePoint).
• Strong problem-solving skills when resolving administrative issues.
• Proven ability to prioritize tasks coming from multiple stakeholders.
• Strong written and verbal communication skills in a team environment.
• A proactive mindset, strong attention to detail, and sense of urgency.
• Flexibility when managing multiple demands and changing priorities.
JOB REQUIREMENTS
• Full-time position.
• Travel required: 0–5%.
• Work environment: approximately 80% office / 20% factory.
• Ability to lift 10–40 pounds.
